The regular checking of driving licenses is one of the central tasks in the fleet. Fleet managers can use manual or electronic checks for this purpose. Complete and traceable documentation is essential for both variants. This is because, in the event of a claim, it serves as important proof of the inspections carried out. A driver’s license check form supports fleet managers with the implementation.
Briefly summarized: The basics of driving license checks in the fleet
Whether company cars or pool vehicles, the driving licenses of all drivers in the fleet must be checked regularly. The aim is to ensure that the driver’s license is valid and that the driver has the required driving license categories. The basis for this is §21 of the Road Traffic Act (StVG), which clearly states the consequences of non-compliance.
How often the checks are to be carried out is not specified by law. However, it is recommended that the test is carried out before each first journey and then every six months. If the driver changes vehicles, the driver’s license must be checked again. Our free driver’s license check template PDF supports you with manual checks in your fleet. Simply print out the template and fill it in with the required data. The document is then signed by you and the relevant driver and filed. This information should be included in a form for the driver’s license check:
- Driver details (name, address, contact details)
- Driving license details (number, classes, date, place and authority of issue, expiration date and restrictions, if applicable)
- Date and signature of driver and fleet manager
Please note that the original driver’s license must always be presented. One copy is not sufficient. Even if the manual driver’s license check sounds like a simple and practicable solution, it is associated with a high administrative burden. In addition to organizing appointments, all driving licenses have to be checked manually. It is also not uncommon for there to be gaps in the documentation or illegible entries. Incorrect or inaccurate entries can also have consequences in the event of a claim. An electronic driver’s license check, on the other hand, saves time and reduces costs.

The advantages of the electronic driver’s license check
Instead of carrying out the checks manually using a form, fleet managers should opt for a software solution for digital driver’s license checks. This automates processes, minimizes effort and ensures greater safety in the fleet.
First, all driver data is stored in the system and the desired inspection intervals are defined. The tool then notifies drivers of upcoming and overdue appointments. Drivers can conveniently scan their driver’s license themselves using a smartphone app. This is particularly convenient for drivers in the field or working from home, as there is no need to travel to the company site for the visual inspection. The traceable and complete documentation of all inspections serves as important proof – especially in the event of a claim.
Carano’s software solution combines different test methods in a variable way. In addition to checking via smartphone app, it is also possible to carry out a visual inspection or a manual check at the company locations using a USB stick. You can use the appropriate control methods according to your individual fleet requirements.
