When Müller Service GmbH opted for the fleet software Fleet+ in 2019, it was already looking to the future. For not only the management of the fleet, but also the control of driver’s licenses soon became a central issue. With locations throughout Germany and a fleet of around 500 cars, the management of the vehicle fleet was characterized by decentralized processes with high effort and costs.

With the aim of centralizing the vehicle fleet and bundling all activities, all vehicle fleets were consolidated in the company’s own truck workshop and at Fahrzeugtechnik Aretsried GmbH at the beginning of 2020. For the resulting fleet management company, it quickly became clear that only a digital solution could meet the extensive requirements and tasks of such a large fleet. Thus, the choice fell on the fleet software Fleet+ from Carano, with which the complex processes can be automated and centrally controlled. Home office and contact restrictions sealed the decision

After the successful implementation of Fleet+, it was clear to Jörg Bültmann that driver’s license checks also needed to be rethought. As part of the owner’s liability, this plays a central role in every fleet and is not taken lightly by Müller Service GmbH. Until then, driver’s license checks had been carried out manually at the respective company locations throughout Germany. Long travel times for field staff, lack of transparency and an error-prone procedure not only made it difficult to carry out the checks and caused high costs, but also caused dissatisfaction among drivers and fleet managers alike. “With the switch to home office and the ongoing contact restrictions, it was finally clear to us that a digital solution for driver’s license checks was inevitable. We found the check via smartphone app exciting right away,” explains Jörg Bültmann.

Safety and convenience thanks to the electronic driver's license control

At the beginning of 2021, for example, the go-ahead was given for electronic driver’s license checks in the Müller Group. With Fleet+ as the leading software application, all driver data is created and maintained centrally. After the initial initialization of the driver’s licenses with an affixed RFID chip, subsequent checks are carried out conveniently via smartphone app. The 420 or so drivers can now scan their licenses anywhere, anytime. The inspection results are stored seamlessly and in an audit-proof manner, and push notifications and e-mails automatically remind users of upcoming inspection dates. “The feedback from the drivers is really positive. It’s quick, the check via app is convenient and can be done without much effort,” says the fleet manager. The introduction of electronic driver’s license control was accompanied by well-planned internal communication. Müller Service GmbH has not only informed its drivers in detail about the handling of the electronic driver’s license check, but also sensitized them to the legal basis and consequences of non-compliance. “The larger the fleet, the greater the need for communication. We accompanied our drivers throughout the entire changeover process, answering questions and providing support. A project like this should be well planned and centrally managed,” explains Jörg Bültmann.

Success awakens desires

The Müller Group is looking to the future. In the near future, the fleets of the two trucking companies will be integrated into Fleet+ and driver’s license checks will be carried out using a smartphone app. “We have aroused the desire of other fleets who want to replace manual checks with electronic driver’s license checks as quickly as possible. Here, we will benefit above all from the possibility of individually setting the inspection intervals, so that the inspections of truck drivers can be carried out as needed,” says Jörg Bültmann. Even beyond the country borders, there are already concrete plans. The fleet in the UK with around 600 cars can also be integrated into Fleet+. This was already an important decision criterion in the selection of the software provider, where Carano was able to convince through the mapping of several currencies and languages. And UVV driver training via e-learning tool is also on the agenda.
